i9Virtual is Now Available!
 
As you may already know, this past quarter has brought significant developments to the applicant screening industry, particularly concerning the Form I-9. In July, the USCIS authorized qualified employers to complete the Form I-9 virtually. On September 5th, Truescreen introduced the future of Form I-9 completion with our first-to-market solution. i9Virtual is our in-house, compliant, secure method for clients to fully embrace virtual Form I-9 completion.

i9Virtual enables employees to complete their Form I-9 online through a secure platform. From start to finish the process is completely virtual, from Section 1 employee data entry through Section 2 or Supplement B completion with our live, U.S-based specialists. This process is not only simple and efficient but also minimizes the need for in-person interactions, ensuring a seamless experience for both employers and employees. Clients can take advantage of the solution’s flexibility, our expert guidance, and guaranteed compliance with the latest Form I-9 regulations, all while benefiting from the time and cost savings associated with virtual Form I-9 processing.

National Criminal Database “Completed Date” Transparency
With this enhancement, requesters will see a more accurate “completion date” for any National Criminal Database components that generate courts cases for additional research.

User Deactivation Email Alerts
When a user is deactivated from your account via the Users grid, an email notification will trigger to our internal implementation team and the individual who initiated the deactivation, ensuring further access protection throughout your organization.

Optional Date of Birth at Package Level
In certain cases, a company may not require the collection of an applicant’s date of birth. This update provides our clients with the option to make date of birth an optional data field across an entire package level.

Do Not Contact Reason – EU/UK
For users who have not authorized Truescreen to run verification searches in the European Union or United Kingdom, a new “Do Not Contact” reason is now available within reports. This note will offer clarification on why an education, employment, or reference in those countries may not have been contacted.

Reported License Number Inclusion
For professional license verifications, the license number (as reported by the subject) will now be included in the finished consumer report, alongside the license number confirmed by our team via primary source verification.

Washington MVR Compliance Reminders
The State of Washington mandates that employers maintain a copy of a completed Employee or Prospective Employee Request Form when conducting a Washington MVR search. A banner will now display, reminding users of this requirement and provide a convenient link to the form.

Enhanced Internal Comment Visibility
For your convenience, internal comments visible only to your company’s requesters are now sorted by creation date with the most recent comments appearing first.

ApplicationStation

ConsumerCare Clarification
Applicants can access our ConsumerCare website to review, file disputes, or add consumer statements to their report. We have clarified our ConsumerCare messaging to indicate that the information they provide for identify verification into our secure website must match what was provided for the background check in order for them to gain access.

Additional Language Translation
Continuing our mission of accessibility, we have extended efforts to include additional Arabic, Chinese, French, German, Japanese, Portuguese, Russian, and Spanish translations for certain custom modules within ApplicationStation.

Address Filtering for Date Ranges
On occasion, employers may prefer to view or consider an employee's addresses only within a specific date range. This enhancement allows employers to filter applications to show only addresses entered within their selected date range.

Precise Address Date Capture Option
We have introduced an option that allows clients to capture address history of applicants in MM/DD/YYYY format (instead of just month and year). Clients who would like this feature implemented can view more precise information about how long an applicant resided at a particular address.

Additional Country-Specific Help Lines
To provide further accessibility to non-U.S. applicants, we have added international phone numbers within ApplicationStation for callers from the United Kingdom, France, and Ireland to our growing list of countries.

i9Success

New Form I-9
USCIS recently released a highly-anticipated new version of the Form I-9 that must be implemented by November 1, 2023. Clients using Forms I-9 through Truescreen can rest assured that we've seamlessly transitioned to the new Form I-9 since September 5th. The new Form I-9 features additional supplement pages for preparer/translators and reverifications, updated terms, a virtual completion checkbox, and revised instructions.

Smart Options for a Consistent Form I-9
Our team has made numerous updates to ensure that our Form I-9 perfectly aligns with the Form I-9 rules provided by USCIS. This quarter, we've introduced several intelligent features, such as additional validation tests and pre-fill options, while maintaining compliance. Some enhancements that streamline system logic and provide additional user guidance include:
  • Drop-down menus for issuing authorities based on document type or citizenship status,
  • Additional validation for specific document number formats, and
  • Clarification for Employment Authorization Document (EAD) types INS Form I-94, Form I-20, and Form DS-2019.
Enhancements to the i9Success Summary Dashboard
The i9Success summary dashboard and grid provides valuable insight into your organization's Form I-9 program. We've improved the dashboard's logic, updated tooltips, and provided more intuitively filtered results to offer greater insight into your overall Form I-9 compliance.

I-9 Find-a-Friend Supplement B Completion Now Available
Our i9Success Find-a-Friend service now extends to Supplement B reverification, name changes, and rehires. Employees and their designated witnesses can complete these tasks using our user-friendly Find-a-Friend platform, complete with step-by-step guidance.

Original Signature and Date Preservation for I-9 Edits
Users who need to edit Section 2 or Supplement B of the Form I-9 will have the original signature and date preserved for auditing purposes. Our audit trail will continue to track whenever changes were made to the Form and by whom.

Employee Clarification for TNC
With this release, if an employee who received an E-Verify Tentative Non-Confirmation (TNC) wishes to take action to resolve their case, we direct users to the Employee Clarification TNC link on the portal which provides a step-by-step guide to assist employees.
